While campaigns run automatically, you maintain full control over individual prospects within each campaign. You can pause, resume, retry, or remove specific leads without affecting the rest of your campaign.
Common Scenarios:
Pause a Prospect:
Someone replies outside the platform (phone call, in-person meeting)
You need to handle them manually instead of automated sequence
Want to temporarily stop outreach while researching the account
Discovered they're not a good fit mid-sequence
Resume a Prospect:
Previously paused lead is ready to re-enter automated sequence
Issue that caused pause has been resolved
Want to restart outreach after manual research
Retry Sending:
Message failed due to temporary technical issue
Email bounced but you've verified address is correct
LinkedIn connection issue resolved
Sequence errored but prospect is still valid
Remove from Campaign:
Lead is not a good fit (targeting error)
Prospect requested removal or unsubscribed
Duplicate entry discovered
Company no longer relevant
Step-by-Step Process:
Navigate to Your Campaign - Go to Campaigns in the left menu
Click on the campaign containing the lead you want to manage
You'll see a list of all leads in the campaign
Find the Specific Lead - Scroll through the list or use search/filter
Identify the prospect you need to manage
Review their current stage and sequence progress
Select the Lead- Click on the lead's row to select them
The row will highlight indicating selection
Lead details may expand or display
Access Row Actions- Look to the bottom right of the screen
You'll see Row Actions menu or buttons
Available actions appear based on the lead's current status
Choose Your Action- Available Actions:Resume/Retry:Restarts a paused sequence
Retries failed messages
Re-engages lead in automated outreach
When to Use: Lead was paused or errored, and you want to continue the sequence
Pause:Stops all future automated messages for this lead
Lead remains in campaign but sequence is frozen
Can be resumed later
When to Use: Need to handle lead manually, temporarily stop outreach, or research further
Remove from Campaign:Completely removes lead from the campaign
All future messages cancelled
Cannot be undone easily (would need to re-add lead)
When to Use: Lead is not a fit, requested removal, or is a duplicate
Confirm ActionA confirmation dialog may appear
Confirm your choice
Action is applied immediately
Scenario 1: Prospect Called You Directly
Action: Pause the lead immediately
Reason: Prevents automated messages during active manual conversation
Next Step: Handle relationship manually; remove from campaign if closed/disqualified
Scenario 2: Lead Shows "Sequence Errored"
Action: Click Retry
Reason: Attempts to resolve technical issue and restart sequence
If Retry Fails: Remove lead and contact support if pattern continues
Scenario 3: Wrong Person Added to Campaign
Action: Remove from campaign
Reason: Targeting error; no point in continuing outreach
Next Step: Review targeting criteria to prevent similar errors
Scenario 4: Lead Requested to Stop Receiving Messages
Action: Remove from campaign immediately
Reason: Compliance with request and regulations
Next Step: Add to suppression list if available
Scenario 5: Company Was Acquired Mid-Campaign
Action: Pause lead, research new company situation
Decision: Resume if still relevant, remove if no longer a fit
Scenario 6: Email Bounced but LinkedIn Accepted Connection
Action: Leave in campaign (multi-channel will continue via LinkedIn)
Alternative: Update email if you find correct one, then retry
Scenario 7: Testing Sequence Changes
Action: Pause a subset of leads
Reason: Test new messaging on new leads while holding existing ones
Next Step: Resume paused leads with updated sequence or keep on old sequence
Lead Won't Pause:
Refresh page and try again
Check if lead has already completed sequence (can't pause completed leads)
Contact support if issue persists
Retry Doesn't Work:
Verify underlying issue is resolved (email address valid, sending account connected)
Check lead's error message for specific issue
May need to remove and re-add lead if retry repeatedly fails
Removed Lead by Mistake:
You'll need to re-add them to the campaign
Go back to the ICP or lead list where you found them
Select the lead and add to campaign again
Note: They'll restart at sequence Step 1
Can't Find Lead in Campaign:
Use search function in prospects list
Check if lead was already removed
Verify you're in the correct campaign
Check filters—lead may be filtered out of view
Track Your Interventions:
How many leads are you pausing/removing?
What are the common reasons for intervention?
Are errors clustering around specific issues?
Warning Signs:
Removing >10% of leads: Targeting quality issue
Frequent errors for many leads: Technical or configuration problem
Pausing many leads manually: Sequence timing or messaging may need adjustment
Repeated retry failures: Systematic issue requiring investigation
Healthy Campaign:
<5% of leads require manual intervention
Most leads progress through sequence normally
Rare errors, and retries generally succeed
Removals are for genuine targeting errors, not systematic issues
Contact support if you experience:
Unable to pause, resume, or remove leads (functionality broken)
Retry fails repeatedly for multiple leads
Bulk actions not working
Lead management options not appearing
Widespread errors affecting many leads simultaneously
Provide support with:
Campaign name
Specific lead names experiencing issues
Actions attempted
Error messages displayed
Screenshots if helpful
Q: If I pause a lead, where do they pause in the sequence? A: They pause exactly where they are in the sequence. If they've received 3 of 7 messages, they pause at message 3. When you resume, they'll continue from message 4.
Q: What's the difference between Pause and Remove? A:
Pause: Temporarily stops the sequence; lead stays in campaign and can be resumed later
Remove: Permanently removes lead from campaign; they're gone and would need to be re-added to continue
Use Pause for temporary holds; use Remove when lead definitely shouldn't be in the campaign.
Q: Can I edit a lead's information (email, name, title) within the campaign? A: This depends on platform capabilities—typically you cannot edit lead details after they're added. If information is incorrect, it's usually better to remove the lead and re-add them with correct information, or update in your source system and re-sync.
Q: If I remove a lead, are messages already sent recalled? A: No. Messages already sent cannot be unsent or recalled. Removing a lead only prevents future messages from sending. Act quickly if you need to stop outreach.
Q: Does pausing one lead affect other leads in the campaign? A: No. Lead management is individual—pausing, removing, or retrying one lead has zero impact on other leads in the campaign. The rest of the campaign continues normally.
Q: How long can I pause a lead? A: Indefinitely. Paused leads stay paused until you manually resume them. They don't automatically resume after a certain period.
Q: What happens if I retry a lead multiple times and it keeps failing? A: After 2-3 failed retries, remove the lead and investigate:
Is their email address actually valid?
Is your sending account still connected?
Is there a systematic issue affecting multiple leads? Don't keep retrying indefinitely—it won't help and wastes time.
Q: Should I remove leads with low match scores? A: Not automatically. Low match scores mean lower confidence, but some low-scoring leads can still be good fits. Instead:
Monitor their engagement (opens, replies)
Remove if they're clearly not a fit after 2-3 messages
Don't pre-emptively remove based solely on score
Q: Can I pause all leads in a campaign at once? A: Yes, but this is typically done by pausing the entire campaign rather than selecting all leads individually. To pause the campaign, use the campaign-level pause button. To pause specific subsets of leads, select them and use bulk pause action.
Q: What if I accidentally resume a lead I meant to keep paused? A: Immediately pause them again. If a message hasn't sent yet (still queued), pausing quickly may prevent it. If a message has already sent, you can't recall it, but you can stop future messages by pausing again.
